There are hundreds of event companies in Malaysia and almost all of them show you the same things: a portfolio of pretty photos, a client logo wall, and a headline price. None of that tells you what actually matters, which is whether the event will run properly on the day and whether the final invoice will match the quotation.
This page is written to help you compare event management companies properly — including ours. It covers how the industry quotes, where the hidden costs sit, and the questions that separate a real operator from a broker who will subcontract your event to someone you have never met.
VC Events is a full-service event management company in Malaysia, based in Kuala Lumpur, operating since 2018. Over 800 events for 80+ corporate clients including Samsung, Petronas, BMW, Dior, Maybank, Guerlain and Burberry.
Knowing which type you are talking to explains most of the price difference between quotations.

When a quotation from an event company in KL looks unusually cheap, the money is almost always hiding in one of these six places. Ask about each one before you sign.

If it is one lump sum, you cannot tell what you are cutting when the budget tightens, and you cannot tell what was quietly removed.
In-house or subcontracted. Ask directly. Then ask whether the equipment is owned or hired in.
You want one named project manager from briefing to teardown, not a handover from sales to ops.
The most common source of a final invoice that is bigger than the quotation.
Spare console, spare mics, standby tech, wet-weather plan, power redundancy. Ask what happens if the projector dies at 7:45pm.
Photos and video from events they actually delivered, with clients named. Stock imagery in a portfolio is a warning sign.
Standard in Malaysia is a deposit on confirmation and the balance shortly before the event. Anything demanding full payment far in advance deserves scrutiny.
A registered company, proper invoicing and public liability cover. Many venues will not let an uninsured vendor load in.

View page →An event management company plans and delivers your event end to end: concept and creative direction, budgeting, venue sourcing, vendor management, run-of-show, technical production (sound, lighting, LED, staging), guest registration, entertainment, permits, on-site show calling and teardown. A full-service operator like VC Events also owns the equipment and employs the crew, rather than subcontracting delivery to third parties.
Ask whether the quotation is fully itemised, whether the crew and equipment are in-house or subcontracted, who your single point of contact is from briefing to teardown, what the overtime policy is, what the backup plan is, and whether they can show you real events they delivered rather than stock photography. An event company that answers all six clearly is far safer than one competing only on headline price.
Usually because they include different things. The cheapest quotation often excludes crew, delivery, load-in, teardown, standby equipment, power or overtime, and those reappear as charges later. Compare quotations line by line rather than by the bottom-line figure, and ask each company what is explicitly excluded.
An event planner designs the event - concept, budget, run sheet and supplier list. An event company usually also executes it with crew and equipment on the day. Some firms only do one. VC Events does both, which is why the team that made the promises in the proposal is the team standing in the room on show day.
Yes. VC Events operates as a registered Malaysian business with proper invoicing and documentation, and we handle the compliance paperwork that corporate, GLC and government clients require.
Our standard terms are 50% deposit on confirmation and 50% balance one to three days before the event. Government and large corporate clients that mandate their own procurement schedules are accommodated separately.
Yes. We run events nationwide including Penang, Ipoh, Johor Bahru, Melaka, Seremban, Kuantan, Kota Kinabalu and Kuching, travelling with our own crew and equipment. Outstation travel and accommodation are itemised in the quotation.
From roughly 50 guests to 5,000. We have delivered more than 800 events since 2018, ranging from intimate VIP dinners to nationwide multi-venue roadshows.
