How Our Event
Planning Fees Work

There are two normal models in Malaysia, and it is worth knowing which one you are being quoted.

Management fee. The planner charges a percentage of total event spend, typically 10–15%. Fine for large budgets, but it quietly rewards the planner for spending more of your money.

Fixed project fee. An agreed figure for the scope, regardless of what the suppliers cost. This is what most of our corporate clients prefer, because the number does not move when the scope does not move.

Either way, our quotation is itemised line by line — planning, production, crew, equipment, logistics — so you can see exactly what each ringgit buys and cut anything you do not want. Across our work, budgets range from roughly RM 10,000 for a small corporate function to RM 500,000 and above for large product launches and gala dinners.

How to Choose an
Event Planner in KL

Ask for an itemised quotation

A single lump sum is where scope creep hides. If a planner will not break the number down, you cannot tell what you are cutting when the budget tightens.

Ask who is actually on site

Many event companies in KL sell the pitch team and send a subcontracted crew on the day. Ask who runs the show and whether the equipment is theirs.

Ask for one point of contact

You should have a single project manager from briefing to teardown. Being passed between a sales lead, a producer and an ops team is where details die.

Ask to see real events

Stock photography in a portfolio is a red flag. Ask for photos and video from events they actually delivered, with the client named.

Ask about the backup plan

Spare console, spare wireless channels, standby technician, wet-weather plan. A planner who has not thought about failure has not run enough events.

Ask how changes are handled

Clients always change something. Find out in advance whether a rundown change or an extra 50 guests triggers a new charge.

Do you only work in Kuala Lumpur?

No. Kuala Lumpur is our base and the Klang Valley is standard coverage with free site visits, but we run events nationwide including Penang, Johor Bahru, Melaka, Ipoh, Seremban, Kuantan, Kota Kinabalu, Kuching and Langkawi. We travel with our own crew and equipment.

How far in advance should I hire an event planner?

For large corporate events, product launches and gala dinners, 3 to 6 months gives you the best choice of venue, date and crew. Corporate dinners and team building events can usually be delivered in 4 to 8 weeks. We do take urgent jobs at shorter notice when our crew is available.

Can you work with a fixed budget?

Yes, and it is the easiest way to work. Tell us the ceiling and we will design to it, showing you exactly what each line costs so you can trade one element against another. We will tell you honestly if a budget cannot deliver what is being asked for rather than accepting the job and cutting corners later.

Are you an event planner or an event management company?

Both. An event planner designs the event; an event management company executes it. VC Events does the planning and owns the delivery, including in-house audio-visual, sound, lighting and staging. That is why there is no gap between what was promised in the proposal and what appears in the room.

Do you handle the permits and licensing?

Yes. We handle venue permits, DBKL and local council requirements where applicable, entertainment licensing, and the safety and insurance documentation venues ask for. Permit requirements vary by venue and event type, so we confirm the exact list during planning.

What size events do you take on?

From roughly 50 guests up to 5,000. Smaller events get the same dedicated project manager and the same itemised quotation - the scope is just smaller.
